Built for how you actually operate

You are not tracking one company's staff. You are running six, or twelve, each with its own sites, shift rules, and a finance contact who wants to see what they are paying for. Timedox is set up around that from the first account.

A separate account per client

Every client company gets its own Timedox account with its own employees, sites, shift rules, and reports. Client data does not mix, and a change you make for one client never touches another.

One login across your client accounts

Your operations team signs in once and moves between client accounts instead of keeping a password list. New coordinators get access to the accounts they work on, and nothing else.

Strict separation, enforced by roles

Roles and permissions scope every person to the client, team, and site they are responsible for. A supervisor on one client account cannot see another client's people or hours.

Reports per client, on your billing period

Inside a client account, filter hours by employee, team, site, or project, then export exactly the period you bill for as PDF, CSV, or Excel.

Desk agents and on-site staff, one account

Most providers run both: people at a screen and people at a site. Timedox covers both inside the same client account, so the hours land on the same timesheet and the same report.

Early access, rollout begins the first week of October 2026

The Timedox desktop app clocks an agent in when they start their day and out when they finish, detects idle time as a break, and resumes when activity comes back. No one has to remember a button. Managers see who is active, who is on break, and the hours behind it.

The desktop app is in testing now. It is not generally available yet, so treat it as early access rather than something you can switch on for a client this week.

How automatic clock in and out works

On-site and field staff

  • NFC stickers. A sticker at the entrance or the nurses' station. Staff tap it with a phone to clock in, and the tag has to be physically present.
  • Biometric clocks. The TDX-TP200 fingerprint clock and TDX-SLP200 proximity clock for fixed sites, so a punch belongs to one person.
  • GPS-verified mobile. For staff who move between sites, the phone app records where the punch happened, and captures punches offline where there is no signal.

Whichever method a person uses, the punch lands in the same timesheet and the same per-client report. You do not run two systems.

Proof you can hand to your client

You bill on hours, so the hours have to survive a question from the client's finance team. That is a different bar from tracking your own staff.

An audit trail behind every hour

Each punch is recorded with its time, its method, and, where you enable it, its GPS location. Timesheet edits are logged, so an hour that gets questioned three months later still has a record behind it.

A client-facing hours report

Filter a client account by period, team, or site and export a clean report of the hours worked. It is readable by someone who has never seen Timedox, which is the point when you send it to a client's finance team.

Backup for the hours line on your invoice

The same export is the document you attach when a client asks what they are paying for. Hours, who worked them, where, and when, in the format their accounts payable team will accept.

How we work together

You use Timedox to run your clients' workforce. It is not a reseller or white-label program: the product stays Timedox, and the client relationship stays yours to define.

Who owns the client relationship

Security and compliance

Biometric data and US state law

Several US states regulate the collection of biometric identifiers such as fingerprints, and typically require notice and written employee consent before enrollment. That obligation sits with the employer of record, so it matters which of your client accounts are in those states.

You do not have to use biometrics at all. The same client account can run entirely on NFC taps and GPS-verified mobile clock-ins, which collect no biometric identifier.

Separation between client accounts

Each client runs in its own account, and roles and permissions decide who inside your team can open which account and what they see there. Data is encrypted in transit and at rest, and time tracking data, timesheets, and employee records are stored in SOC 2 Type II compliant data centers in the United States.

GDPR posture

For staff in the EU, Timedox processes personal data under GDPR, supports the access, correction, erasure, and portability rights of the people in your client accounts, and commits to breach notification to data controllers within 72 hours.
