Getting Started with Automatic In-Out: Setup Guide

What Is Automatic In-Out

Automatic In-Out is a feature of the Timedox desktop app that detects when an employee arrives at or leaves their workstation and automatically records a clock-in or clock-out. It uses a combination of network presence (connecting to the office Wi-Fi) and computer activity (unlocking the workstation) to determine attendance.

This feature is designed for office-based and hybrid teams where employees work from a consistent location. It eliminates the need to remember to clock in while maintaining accurate time records.

Step 1: Install the Desktop App

Download the Timedox desktop app from your admin dashboard. It is available for Windows 10/11 and macOS 12+. Installation requires admin privileges on the computer.

Once installed, employees sign in with their Timedox credentials. The app runs in the system tray and uses minimal resources (under 50 MB of memory).

Step 2: Configure Detection Methods

As an admin, navigate to Settings > Automatic In-Out in the Timedox web dashboard. You will see three detection methods: Wi-Fi Network (clock in when connected to a specific network), Geofence (clock in when the computer's IP address maps to an approved location), and Workstation Activity (clock in when the computer is unlocked, clock out after a configurable period of inactivity).

We recommend enabling at least two methods for accuracy. Wi-Fi + Workstation Activity is the most popular combination.

Step 3: Set Up Verification Rules

Configure the grace periods and thresholds that determine when an automatic clock-in or clock-out is triggered. For example, you might require 5 minutes of continuous Wi-Fi connection before triggering a clock-in (to avoid false positives from walking past the office).

For clock-out, set an inactivity threshold that matches your break policy. A 15-minute threshold means the system waits 15 minutes after the last workstation activity before recording a clock-out. If the employee returns within that window, no clock-out is recorded.
